POSITION OVERVIEW
We are seeking a highly organized, dependable, and proactive Remote Administrative Assistant to support our daily business operations. In this role, you will manage administrative tasks, coordinate schedules, maintain records, and support internal teams. You will work closely with our finance, consulting, and operations teams to ensure smooth workflows and accurate documentation. This is a full-time, remote position. You will work from your home office and must be available during business hours. You will receive full training, clear instructions, and ongoing support from senior team members.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Operations
- Manage incoming and outgoing communications, including phone calls, emails, and correspondence
- Maintain organized digital filing systems for clients, vendors, and internal records
- Prepare operational reports, spreadsheets, and office documentation
- Coordinate office schedules, meetings, and calendars
- Monitor office supplies and coordinate with vendors as needed
Client & Team Support
- Serve as administrative support for client-related inquiries
- Assist with client onboarding processes, document collection, and verification
- Schedule client meetings and prepare necessary materials
- Maintain accurate client records in accordance with company procedures
- Track client requests and ensure timely follow-up with appropriate teams
Financial & Reporting Support
- Support invoice and receipt processing under supervision of finance staff
- Assist with preparation of operational and financial reports
- Monitor office workflows and ensure tasks are completed on time
- Maintain compliance records and documentation
- Generate daily, weekly, and monthly administrative reports for management
TYPICAL DAY IN THIS ROLE
- Prioritize and respond to incoming communications
- Coordinate meeting schedules and prepare documentation
- Maintain client files and office records with accuracy
- Support finance team with routine processing tasks
- Assist management with operational workflows and project coordination
- Monitor administrative processes for efficiency
QUALIFICATIONS
- Previous experience in office administration, operations support, or related roles preferred
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and cloud-based applications
- Ability to work independently and collaboratively in a remote environment
- High attention to detail and accuracy
- Professional demeanor and ability to handle confidential information
- Reliable internet connection and dedicated home office space
- Legally eligible to work in Canada
