POSITION OVERVIEW


We are seeking a highly organized, proactive, and professional Remote Executive Assistant to provide high-level administrative support to our senior leadership team. In this role, you will manage complex calendars, coordinate travel arrangements, prepare correspondence, and handle confidential information with discretion.

You will work closely with executives and department heads to ensure smooth daily operations and effective time management. The ideal candidate has exceptional organizational skills, strong communication abilities, and the ability to anticipate needs and prioritize tasks effectively.

This is a full-time, remote position. You will work from your home office and must be available during business hours. You will receive full training, clear instructions, and ongoing support from senior team members.


ESSENTIAL DUTIES AND RESPONSIBILITIES


Executive Support

  • Manage complex calendars and schedules for senior leadership
  • Coordinate and schedule meetings, appointments, and travel arrangements
  • Prepare correspondence, reports, and presentations
  • Handle confidential information with discretion and professionalism
  • Anticipate needs and proactively support executives in daily tasks
  • Serve as a primary point of contact for internal and external stakeholders

Coordination & Communication

  • Coordinate with internal departments to ensure smooth operations
  • Assist with meeting preparation and follow-up actions
  • Maintain organized records and documentation
  • Monitor deadlines and ensure timely completion of tasks
  • Support executive team with project coordination and special assignments
  • Manage and prioritize incoming communications

Administrative Operations

  • Maintain digital filing systems and records
  • Prepare operational reports and documentation
  • Support office operations as needed
  • Identify opportunities to improve administrative processes
  • Participate in team meetings and training sessions

TYPICAL DAY IN THIS ROLE


  • Review calendar and prioritize daily tasks
  • Coordinate meetings and appointments

QUALIFICATIONS


  • Previous experience as an executive assistant, administrative assistant, or similar role is strongly preferred
  • Exceptional organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and calendar management tools
  • Ability to handle confidential information with discretion
  • Strong problem-solving and proactive thinking abilities
  • Professional demeanor and ability to work with senior leadership
  • Reliable internet connection and dedicated home office space
  • Legally eligible to work in Canada
