POSITION OVERVIEW
We are seeking a highly organized, detail-oriented, and proactive Scheduling & Appointment Coordinator to join our growing team. In this role, you will be responsible for managing calendars, coordinating appointments, and ensuring smooth scheduling of client meetings and internal events.
You will work closely with our accounting, tax, and administrative teams to ensure timely scheduling and efficient use of resources. The ideal candidate has excellent organizational skills, strong communication abilities, and the ability to manage multiple schedules simultaneously.
This is a full-time, remote position. You will work from your home office and must be available during business hours. You will receive full training, clear instructions, and ongoing support from senior team members.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Scheduling & Coordination
- Manage and coordinate calendars for multiple team members and departments
- Schedule client meetings, appointments, and consultations
- Coordinate internal meetings, team check-ins, and training sessions
- Send meeting invitations, reminders, and confirmations to participants
- Resolve scheduling conflicts and adjust calendars as needed
- Maintain accurate records of scheduled appointments and meetings
Client & Administrative Support
- Serve as the primary contact for scheduling-related inquiries
- Assist clients with appointment bookings and rescheduling requests
- Coordinate with internal teams to ensure availability for client meetings
- Maintain up-to-date records of client appointment histories
- Track and report on scheduling metrics and efficiency
- Support administrative tasks related to scheduling and coordination
Process Improvement
- Identify opportunities to improve scheduling processes and efficiency
- Suggest and implement improvements to calendar management workflows
- Document scheduling procedures and best practices
- Participate in team meetings and training sessions
- Stay current with scheduling tools and technologies
TYPICAL DAY IN THIS ROLE
- Log in to scheduling systems and review upcoming appointments
- Send meeting invitations and reminders to participants
- Resolve scheduling conflicts and adjust calendars
- Coordinate with internal teams to ensure availability
- Assist clients with appointment bookings and changes
- Update records of scheduled appointments and meetings
- Participate in team check-ins and training sessions
QUALIFICATIONS
- Previous experience in scheduling, coordination, or administrative support is preferred
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and calendar management tools
- Ability to work independently and stay organized in a remote environment
- High attention to detail and accuracy
